Ask each owner to share progress, risks and next decisions in the same place and on the same rhythm. People can read when they have context, then use meeting time for problems that benefit from real discussion.
Protect decision time
When a decision is needed, bring the relevant options, recommendation and deadline together. A short focused conversation is far more effective than a broad meeting where nobody knows what must be settled.
